1. Introduction

This Privacy Policy explains how Vidveda (“we”, “us”, “our”) collects, uses, shares, and protects your personal information when you use our platform for online Ayurvedic consultations. We are committed to handling your data — including sensitive health information — responsibly and in accordance with applicable Indian law.

2. Information We Collect

Account information: your name, email address, and any contact or profile details you provide.

Health and consultation information: the health concerns, history, lifestyle details, and other information you share with a specialist, along with the care plans created for you.

Payment information: where you book a paid consultation, payment details are processed by our payment partners; we do not store full card details on our servers.

Usage information: technical and analytics data such as device type, browser, and how you interact with the Platform, collected to keep the service secure and improve it.

3. How We Use Your Information

We use your information to provide and facilitate consultations, connect you with appropriate specialists, deliver your personalised care plans, process bookings and payments, communicate with you about your account and appointments, ensure platform security, and comply with legal obligations.

4. Sharing & Disclosure

We share your information with the specialist you choose to consult, so they can provide care. We also share limited data with trusted service providers (such as payment processors, communication, and hosting providers) who act on our behalf under appropriate confidentiality obligations.

We do not sell your personal information. We may disclose information where required by law or to protect the rights, safety, and security of our users and the Platform.

5. Sensitivity of Health Data

We recognise that health information is sensitive. Access to your consultation records is restricted to you, the specialist you consult, and authorised personnel who need it to operate the Platform. We apply additional care in how this information is stored and shared.

6. Practitioner Verification Documents

If you apply to practise on Vidveda, we ask you to upload credential documents (your BAMS/MD certificates, council registration, and a government ID) so we can verify your qualifications. These are stored in a private, access-controlled repository and are used solely for credential verification.

When you give consent on the upload page, we record — as proof of that consent — your IP address, browser/user-agent, the date and time, and the exact wording you agreed to. Every time a member of our team opens one of your documents, that access is logged (who viewed it and when).

We keep these documents until you ask us to delete them. On request, we permanently erase the stored files and their records and retain only a minimal audit note that the deletion was carried out. To request deletion, contact us at support@vidveda.com.

7. Data Retention

We retain your personal and health information for as long as your account is active or as needed to provide our services, and thereafter only as required to meet legal, regulatory, or legitimate business obligations. When no longer required, your information is securely deleted or anonymised.

8. Security

We use appropriate technical and organisational measures — including encryption in transit and access controls — to protect your information against unauthorised access, loss, or misuse. No method of transmission or storage is completely secure, but we work continuously to safeguard your data.

9. Your Rights

Under India’s Digital Personal Data Protection Act, 2023, you have the right to access the personal data we hold about you, to request correction of inaccurate data, to request erasure of your data, and to withdraw consent where processing is based on consent. You may also nominate another individual to exercise your rights in the event of incapacity or death.

If you are located in the European Economic Area or the United Kingdom, the EU/UK General Data Protection Regulation (GDPR) also applies to you. In addition to the rights above, you have the right to object to or restrict certain processing, the right to data portability, and the right to lodge a complaint with your local supervisory authority. Where we rely on your consent — including for analytics cookies — you may withdraw it at any time without affecting processing already carried out.

10. Cookies & Analytics

We use a small number of cookies and similar technologies. Strictly necessary cookies keep you signed in and secure your session — these are always active and cannot be switched off. Analytics cookies (Google Analytics) help us understand how the Platform is used so we can improve it.

Analytics cookies are turned off by default and are only set after you accept them in our cookie banner. Until you opt in, no analytics cookies are stored and no analytics identifiers are collected. You can accept, reject, or change your choice at any time using the “Cookie settings” link in the footer. You can also control cookies through your browser settings, though disabling strictly necessary cookies may affect some features.

11. Children

The Platform is intended for users aged 18 and over. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, notify you. Your continued use of the Platform after changes take effect constitutes acceptance of the updated policy.
